Board Roles

We are looking to add board members to our 2023 Board of Directors. The following are all of the board positions and their respective role descriptions:

Board President 
  • Recruit board members
  • Implement policy as set by board
  • Point of contact with other leagues, district administration and the township
  • Schedule and lead board meetings
  • Assign tasks to board members and follow up to make sure tasks are completely satisfactory
  • Provide overall leadership
  • In conjunction with division directors, and commissioners, decide disciplinary actions for misbehavior of players, coaches and parents
  • Ensure that league follows Little League policies and procedures
  • Maintain League information on the LLI website, including insurance, annual charter, number of teams and board information

Vice President - OPEN
  • Assist the president in the above duties as needed
  • Take over if president is not available

Secretary
  • Keep official record of board meetings
  • distribute official board meeting minutes after meetings

Treasurer
  • Maintain financial records
  • Develop systems of checks and balances to safeguard League funds
  • Financial report to board
  • File required tax returns
  • Manage banking relationship
  • Manage debit cards and spending on debit cards
  • Pay bills

Player Agent/All Star Coordinator
  • Overall responsible for placing players on teams
  • Work with commissioners to set player draft guidelines
  • Set up player pool for teams that are short players to draw from to avoid forfeits
  • Recommend policy to Board for parent coach/friend special requests
  • Coordinate All-Star process, including required paperwork and method/process of selection of players to All-Star Team

Baseball Commissioner
  • Works with Board to set policies and procedures for baseball
  • Works through division directors - person in charge of all things baseball
  • Assist division directors with coach recruitment and selection
  • Player evaluations - determines which ages require evaluations, selects location and date and recruits helpers
  • Sets guidelines for player draft to teams with Player Agent
  • Sets practice schedule before and during regular season
  • Recommend to Board policy regarding travel team use of fields for practice and games
  • Responsible for any behavior issues that may come up that the division manager needs help with
  • Responsible for coaches training

Softball Commissioner - OPEN
  • Works with Board to set policies and procedures for softball
  • Works through division directors - person in charge of all things softball
  • Assist division directors with coach recruitment and selection
  • Player evaluations - determines which ages require evaluations, selects location and date and recruits helpers
  • Sets guidelines for player draft to teams with Player Agent
  • Sets practice schedule before and during regular season
  • Recommend to Board policy regarding travel team use of fields for practice and games
  • Responsible for any behavior issues that may come up that the division manager needs help with
  • Responsible for coaches training

Division Directors - SOME OPEN
Tee Ball | Coach Pitch | Minor BB & SB | Little Major BB & SB | Major BB & SB | Intermediate BB | Junior BB
  • Ideally there is a division director for all of the above divisions
  • Coordinate with commissioner
  • Responsible for coach recruitment and selection
  • Responsible to handle any behavior issues
  • Responsible for communication between coaches and Board
  • Reviews and approves practice and game schedules

Safety Director
  • Learn LLI safety policies and procedures and makes sure League is in compliance
  • Understands the LLI Child Safety Program and ensures League compliance
  • Update safety and first aid manual each year and distributes to coaches
  • File updated safety manual with LLI
  • Complete fields review and update on LLI website
  • Work with Background Check Coordinator to make sure all volunteers are screened as required by LLI
  • Attend practices and games and monitor for compliance with safety plan
  • Order first aid supplies, restock first aid kits, work with equipment manager to make sure team has first aid kit
  • Work with Equipment Manager to make sure bats, balls and other equipment meet LLI safety policies

Background Check Coordinator
  • Understands LLI background screening requirements and ensure that all required volunteers are screened

Volunteer Coordinator
  • Match volunteers with tasks
  • Develop list of volunteer tasks and communicate opportunities to parents

Registration
  • Set registration rates with board approval
  • Promotion of registration - Peachjar, schools, website, social media and other forms as necessary
  • Coordinate in-person registration and recruit volunteers to staff
  • Manage all Forms; download from LLI, update existing forms, including Medical Release Form, Volunteer Application Form, School Enrollment Form, Concussion Protocol, etc
  • Learn and manage online registration software; set up new season, answer parent questions, manage and give scholarships as needed
  • Understand league boundaries and eligibility to play with Alamo LL - manage waivers if needed
  • Run registration reports
  • Allocate players to teams in software
  • Manage wait list and cut off dates

Social Media & Website Coordinator
  • Manage and update website to provide access to league information
  • Manage social media and disseminate information to parents, friends and families

Equipment Manager
  • Distribute all equipment bags to each team in the league
  • At the end of the season, collect each equipment bag
  • At the end of the season, coordinate volunteers to choose a date to inventory the equipment bags and equipment room
  • Place orders for any equipment needed by Alamo Little League before, during and after the season
  • Supply coaches with any additional equipment as requested throughout season

Schedules - OPEN
  • Draft schedules and send out for review
  • After review, distribute schedules to coaches
  • Maintain a master schedule and amend as needed - keep track of open fields available for makeup games and practices
  • Coordinate Opening Day Schedule with picture coordinator

Concessions - OPEN

  • Develop annual concession plan
  • Set prices
  • Select vendors and arrange for credit and delivery of products
  • Select items to be sold
  • Understand and communicate Health Department and Little League standards for the concession stand
  • Clean, stock and get concession stand ready for annual Health Department Inspection
  • Coordinate with Hope Stanley from the Health Department to get water system approved; open annual report, ongoing water testing for bacteria and nitrates as required
  • Recruit, train and schedule volunteers and paid workers
  • Set up credit/debit card payment system and cash register
  • Work with treasurer to set up checks and balances to prevent theft
  • Direct and organize preparation of food and drink
  • Clean concession stand and restrooms after games
  • Play National Anthem at 6:00pm

Umpire In Charge
  • Recruit and train umpires
  • Schedule umpires to games
  • Obtain rulebooks/downloads of rulebooks and distribute to coaches and umpires
  • Gain a good understanding of baseball and softball rules
  • Ongoing review and training of umpires during games
  • Protect umpires from abuse
  • Educate players, coaches and parents on behavior expectations
  • Enforce League standards of behavior by players, coaches and parents

Uniforms
  • Obtain uniform quotes and make recommendations to Board
  • Coordinate with teams on desired hats, visors and colors
  • Order uniform shirts and hats, monitor vendor completion and distribute to teams
  • Coordinate with Sponsor Coordinator on sponsor names on uniform shirts

Pictures
  • Recommend photographer to Board
  • Coordinate picture schedule with opening day person and scheduler
  • Communicate and coordinate with coaches, parents and photographer
  • Coordinate with sponsor coordinator on team pictures for sponsor plaques - order from photographer
  • Distribute pictures to teams/parents

Opening Day Coordinator
  • Plan festivities and make the day fun and special
  • Work with concessions about grilling outside
  • Decorations, Parade, Home Depot craft kits, first pitch, etc
  • Food drive with Christian Neighbors/Alamo Foundation or other fundraiser

Sponsor Coordinator
  • Recommend sponsorship levels to Board
  • Develop sponsorship materials to hand out to potential sponsors
  • Point of contact for sponsorship inquiries
  • Ask for money
  • work with uniform coordinator to assign uniform sponsors to teams

Maintenance - OPEN
  • Maintain buildings and lawn equipment for the season
  • Maintain fields, including prep for games
  • Mowing throughout the season
  • Manage Prep Day activities and direct jobs as needed
